The A-E-I-O-Us of Event Streaming

How can a successful three-day conference, a non-profit’s largest fundraising gala, or an educational seminar still occur with the gathering size limitations being enforced due to a national pandemic? Enter – event streaming.

While in-person, face-to-face events have been the norm for many years, we need to learn to pivot and shift our thoughts regarding how we plan events. We need to develop an informative, enjoyable, and engaging event for virtual attendees. To help you, we have created the AEIOUs of event streaming.

Audit

Planning a three-day virtual conference is very different from a three-day in-person conference. Although an 8 am-3 pm day of seminars along with a break for lunch, snacks, and dinner in the evening with colleagues is typical – sitting in front of a computer screen for that amount of time sounds exhausting. Hello, Zoom fatigue!

Considering that, you need to do a complete event audit to see what needs to be included, what can be removed, and what should be added to both meet your internal event goals and meet your audience’s wants and desires. Why you plan an event and what you hope to achieve is often radically different than why your audience attends the event and what they hope to receive.

Engaging

After you conduct an event audit, you need to put your thinking cap on and decide how to make your event more engaging. An online audience and a face-to-face audience are very different. A three-hour luncheon with a speaker could be greatly condensed to maybe 30 or 45 minutes.

What is going to keep your online audience interested in your event instead of the work emails that are piling up or projects that are pressing? Think about ways that you can make your online event special, interesting and compelling for the people attending.

If you still would like to serve lunch, deliver e-gift cards to local restaurants or have attendees pick boxed lunches up at a designated area or delivered to their home or office. Get your creative juices flowing.

Is Here to Stay

Experts say restrictions on gatherings will be gradually lifted as we approach the late summer and early fall months of 2021. Where does that leave event streaming?

While many attendees will want to attend your in-person events, you will still have those who can’t, but would like to. When we get to that point, a hybrid event model (in-person/event streaming) will become a part of your event planning and management diction.

Also, offering a hybrid event can provide additional revenue for your organization that you never considered. More people may attend. More donors may participate. You can offer recorded event sessions again later for a fee. There are a lot of options!

We can be sure of a few things in life, and change is one of them. Be open to incorporating event streaming into your event management toolbox in one way or another. Whether it means holding a hybrid event or a webinar, embrace it.

Staff Spotlight: James Haywood, Project Coordinator

When James Haywood joined Intrada Technologies in August 2019, Intrada’s owners, David Steele and Paul Boyer, expected an increase in clients and sales.

After a few months, it was clear that David and Paul had made a great choice with this hire. James’ interpersonal skills and fun-loving personality brought more to Intrada than expected.

James has worked well with the Intrada crew from the outset – helpfully relating to both technology-focused programmers and non-technical prospects and clients.

He brings creativity and new ideas to Intrada, benefitting the office. Many of his efforts have grown our team’s camaraderie and raised morale. Some notable successes include engaging everyone in the office with fun holiday parties or epic game tournaments after hours.

Intrada has also benefitted from James’ commitment to fulfilling our mission to create ongoing, trusted partnerships and provide customized information technology solutions. He enjoys connecting with people and manages our clients’ experiences well with good communication and insightful problem- solving.

James tackles challenges with tenacity. This may be due to his love of learning, fondness of strategic board games and diverse career experiences – especially his service in the US Army. James’ passion to learn, grow and help others is summed up in his favorite quote by Albert Einstein, “If you can’t explain it simply, you don’t understand it well enough.”

“This quote challenges me to research until I truly understand. And when I truly understand, then I can explain it various ways to others so they do too,” James stated.

As he has grown in his understanding of Intrada’s variety of technology services, one that stands out to James is our PRO-Active Network Support.

“I really like the way networking and IT work together through our Networking Support services,” James said. “Our PRO-Active agreements keep clients’ networks secure, reliable and productive.”

Stable and secure networks are not the only things that make Intrada Technologies special, though, he emphasized.

“Intrada does its best to only offer the best solution [to clients],” James shared. “A lot of companies look for the sale first, but we look for the solution first. We truly are committed to our clients’ success and building trusted partnerships with every client.”

Working for Intrada Technologies has opened doors of opportunity for James to build relationships and give back to the community as well. He is currently the Vice President of the Williamsport Rotary and will serve as President again in July 2021. Rotary service allows James to mobilize and work with other like-minded business people to serve and raise funds for the betterment of the greater Williamsport area and abroad.

When not organizing in-office Rap Battles, helping clients find the best solutions with technology, or serving our local and international communities, James enjoys spending time with his wife and son, playing guitar and playing or watching sports.

Is User Activity Monitoring Right for my Business?

One of the fastest-growing challenges companies are currently facing due to the sizable increase of their employees working from home is productivity. According to a report by the Pew Research Center, only 7% of workers in the U.S. worked from home, pre-pandemic. Now, and not by choice, nearly two-thirds of Americans work remotely. When employees are working from their home office, how do employers know what they are doing? When and how often are employees disengaging? Is there an easy way that employers can monitor user activity and productivity? There is, and Intrada has a solution.

Intrada Technologies offers software that provides our clients with user activity monitoring for both the remote and on-premise users.

How does user activity monitoring software work?
David Steele, the co-founder of Intrada Technologies, states, “The productivity platform learns a baseline activity for each user. Reports and auditing start as soon as the low weight, hidden application is applied to the user device. But the platform also learns and builds a profile based on user activity. Once the profile baseline is established, the software will notify administrators of any changes in behavior, including apps used, time allocation, or even how email messages are worded.”

Human Resources and department managers can easily monitor computer usage and productivity by viewing easy to follow dashboards and reports. The software is customizable for your company’s specific needs to provide alerts based on rules or benchmarks.

The activity report provides information regarding the hours your employees are working, what they are working on, and monitors several actions, including email, print jobs, website history, keystrokes, web searches, and network access. It also recognizes when they may need extra support or coaching, as working from home isn’t an easy transition for some. And suppose your employee is spending their time watching movies on Netflix, chatting on social media most of the day, or engaging in any unauthorized or permitted activity during the workday? In that case, an alert will be sent to the administrator or HR department to review.

“While this software is very big brother, companies need to protect the security and privacy of company information,” Steele emphasizes. “Most companies are required to provide security and protection of company information under compliancy cyber insurance policies. This platform provides companies with accountability on the end-user and a consistent benchmark. Companies can have peace of mind by knowing users are monitored, providing a systemized approach to productivity, security, and accountability.”

If employee user activity monitoring is the direction you are going in, Intrada also recommends adding ransomware monitoring or EDR (endpoint detection and response) as an additional security option. EDR protects end-users, servers, or workstations by detecting, blocking, alerting, and restoring files that could be attacked.

Celebrating 20 Years

Intrada 20th Anniversary Logo

The year was 2000, also known as Y2K. The information technology industry was starting to become more intertwined in everyone’s personal and professional lives. Two friends, each with newborn children and wives who were making the career change to stay at home, became aware of this and thought, why not quit our full-time jobs and start a tech company?

Brief history
With Paul Boyer’s electrical engineering degree from Penn State and David Steele’s plethora of private studies and certifications from the Pennsylvania College of Technology, the natural-born problem solvers and rookie entrepreneurs launched Intrada Technologies.

What began in David’s basement with six clients and two employees has grown into a small business that has outgrown its office space four times. It serves nearly 200 clients with twenty full-time employees and quite a few freelancers brought into projects for their unique specialties.

Why the name ‘Intrada’?
Intrada is a musical term meaning prelude. The name was chosen to pay homage to David’s father, a renowned musician, composer, mentor to Intrada, and set the stage for the exciting business growth to come.

It wasn’t always easy.
According to the U.S. Bureau of Labor Statistics, about 20% of small businesses fail within the first year. By year five, approximately 50% have closed their doors, and after year 10, only around a third make it.

Steele indicates that Intrada has had its ups and downs, good years and not so good years, but pushed through.

So how did Intrada stay on course and not become a statistic? David Steele chalks it up to not following how the average IT company does business.

Steele and Boyer built their business on their problem-solving abilities and continually invested in new ways to serve clients.

“We didn’t want to be the stereotypical IT company trying to add clients to our accounts receivable column,” he adds. “We wanted to start a company that offered clients the opportunity to forge and build an ongoing, collaborative relationship with us. We wanted each client to think of us as an instant expansion of their own IT department and call on us for any problem, issue, or improvement they needed. It is our unique client/partner relationship that has helped our company to grow.”

Relationships
Intrada was also building relationships with other companies to enhance service offerings to clients. One of these relationships was with PRworks, a marketing and public relation company based in Harrisburg, Pennsylvania.

The relationship forged into a strategic partnership. Intrada focused on the technical components and PRworks concentrated on the messaging and branding components bridging a common challenge between a technical and creative organization.

The partnership was unique to the industry and provided clients a powerful approach to create a strategic direction to maximize marketing and communication services. The partnership grew into a family-like relationship, so when owners Robert and Deborah Saline decided to retire and sell PRworks, Intrada purchased the company. Steele then hired Jason Kirsch to continue the Saline legacy providing quality, ethical-based public relation services to our clients.

Looking ahead
With a relationship-based business model serving as its foundation with a customer service goal to exceed our clients’ expectations, David and Paul have built a company focused intentionally and strategically on each client and their specific needs. Intrada continues to grow each of our service lines, including new cybersecurity and compliancy services, and align web analytics with campaign goals to streamline activity monitoring and targeting.

We are looking forward to providing technology solutions for years to come and are continually looking for prospects that value technology and desire to build a relationship with their technology partner.

Steele adds, “The information technology industry is constantly evolving. Intrada plans on doing the same, bringing new services and products to our clients to help their businesses run efficiently. Marking twenty years in business is an accomplishment that could only be done through our valued clients and partnerships. We Thank You. While our initial celebration had to be postponed, we are planning a September 2021 event to thank all of our clients.”

Build, Enhance, Promote: Re-envisioning the Army Heritage Center Foundation’s Website

Intrada Technologies, PRworks and the Foundation joined forces to engage visitors with a modern look and honed messaging

When Intrada Technologies began working with the Army Heritage Center Foundation in 2013, our mission was to strategically rebuild their site in a way that minimized expense and provided staff with full control of the resource. We delivered.

In 2020, the Army Heritage Center Foundation’s strategic planning process identified future goals and objectives for modernization and growth, calling for another website rebuild to support them.

Returning to Intrada Technologies as its website partner, the Foundation set out to launch a new site with a contemporary visual design, increased functionality, updated messaging and a modern visitor experience.

Intrada Technologies recommended the services of our sister company, PRworks, Inc., to address the Foundation’s goals with an evaluation of the organization’s current messaging and a strategic approach to site planning, design and content.

“Our first step was a messaging audit,” said Jason Kirsch, APR, partner, and senior counselor at PRworks. “We gathered and assessed the Foundation’s messaging to identify strengths, weaknesses, and opportunities. The result was nine key insights which we applied to develop fresh content that tightly aligned with the Foundation’s vision, goals, strategic plan, and programs.”

Based on the new insights and content, our team went to work. Developing a custom template and specially-tailored plugins, Intrada built the site to enhance the visitor experience and ensure both security and functionality. Utilizing a custom template on WordPress minimized a purchased template's overhead, providing extra cost-savings for the Foundation.

“Also crucial was transforming the Foundation’s messaging to support the next phase of its capital campaign for the U.S. Army Heritage and Education Center,” Kirsch said. “Honoring the heritage of the American Soldier is personal. When you support the Foundation’s mission, you are personally ensuring that soldiers’ stories are preserved and will be told for generations.”

The new site design and content welcomes visitors into the compelling story of the American Soldier and U.S. Army, inviting them to join the Foundation’s mission to honor, maintain and grow the vital history and matchless resources provided by the U.S. Army Heritage and Education Center. 

Enabling visitors to support the Foundation’s mission required excellent functionality, an updated point-of-sale system and thorough site security. 

“Given the nature of the Army Heritage Center Foundation and its association with the U.S. Army, hackers have a natural proclivity for the site,” said David Steele, owner of Intrada Technologies. “Any interruption to the Foundation’s work due to a cyberattack could be costly and damaging. All efforts were made to minimize vulnerability. Intrada’s continued monitoring and management services work 24/7 to ensure site security and operations.”

Integrating the U.S. Army Heritage and Education Center’s point-of-sale system into the new site created new challenges. However, Intrada found a solution to bring all store projects online with a single inventory management system, streamlining processes, and freeing up time and resources for both the Foundation and the Army Heritage Center.

“While we strive to deliver strategic, innovative and effective solutions with technology for every client, serving the Army Heritage Center Foundation is especially rewarding,” said Steele. “Working with the Army Heritage Center Foundation allows us to honor the men and women who have served our country and learn about their contributions in the process.”

Muncy, PA (October 22, 2020) – Intrada Technologies today announced October is National Cybersecurity Awareness Month. The 17th annual event was created as a collaborative effort between the Cybersecurity and Infrastructure Agency (CISA) and its public and private partners, which include the National Cyber Security Alliance.

The theme selected for the national awareness campaign is “Do your Part. #BeCyberSmart.,” encourages individuals and organizations to take proactive steps to enhance cybersecurity and protect their part of cyberspace.

“With technology use at an all-time high, the designation of October as Cybersecurity Month is timely,” stated David Steele, partner of Intrada Technologies. “Cybercriminals are becoming more and more aggressive and savvy so businesses need to be aware of all types of threats, as well as all types of security options for their company’s computers and mobile devices. October is a great time for businesses to evaluate their current security needs.”

With the use of technology steadily increasing and continuously evolving, the type of software once thought of as the best protection continues to change. The many current antivirus solutions rely on signatures to detect threats (a digital fingerprint). As administrators and educators finalize plans and return to school this fall, an increase in educational technology is inevitable. Whether an in-person, hybrid, or fully-online return to school is planned, districts have learned valuable lessons from the Spring of 2020 and have obtained new levels of technological experience. However, supporting schools and their educational needs and expectations in a rapidly changing environment can significantly stress many departments – specifically the IT department.

Nearly sixty percent of teachers and administrators surveyed by Ed Week said their opinion of educational technology has grown more favorable due to the increased usage of technology during the coronavirus closures. Survey findings attributed the prevention of negative feelings to the significant role that school IT Help Desks likely played.

The increased workload for school IT departments is staggering. One district’s IT Help Desk reported an increased daily call volume increasing 800% during building closures, demonstrating just how critical the role of an accessible, experienced IT support system is for successful remote learning.

In the Spring of 2020, nearly 9 out of 10 teachers reported spending more time troubleshooting technology issues and, in many cases, devoting possible instructional time to managing technology challenges. Hopefully, some of those learning curves will have leveled off by now. As technology continues to evolve to meet demands, IT staff must continue to devote time to teaching other staff members, parents and students how to interface with the changes.

This is only one side of a multi-faceted issue, though. Recent polling by College Reaction/Axios of 800 college students showed that more than three-quarters of students felt distance learning was worse or much worse than in-person classes. From tech issues to distractions, motivation to lack of in-person interaction, college students struggled with understanding and succeeding educationally with a fully-online learning model.

Yet, schools with esports teams – teams of students that play a multiplayer video game competitively online for spectators and in tournaments – tout student engagement, college skills, future career opportunities and positive social engagement. Esports may be a consideration for schools as they strive to increase engagement, teamwork, and a form of socialization.

Conferences
Rotary International District 7360, covering parts of Pennsylvania and Maryland, hosts a youth exchange conference each year. Intrada has been charged with live streaming the event on Facebook since 2018.

At the conference, foreign exchange students supported by the schools in the district, present a program for attending Rotarians. Each student is involved in singing, dancing, performing, or speaking.   Livestreaming the event allowed 2,000 views in over 30 countries, in addition to the 400 people attending.   Family members were able to see loved ones and send messages via Facebook Live. Over the next several weeks, views and shares exceeded 10,000 expanding the program's reach 25 times. Rotarians were able to share this event with others interested in Rotary's exchange program.

Adapting to a Virtual Office

Since the middle of March, many of us have been working remotely due to COVID-19. Whether located in the corner of your family room, a closet, or on your kitchen island, our new commute times are now seconds and the new business attire is quite comfortable. However, our new workstations may not be as quiet as they were before and interruptions are inevitable.

While we are adapting as best as we can, adjusting to a new virtual office does come with challenges. Intrada Technologies suggests approaching our new normal by assessing these challenges proactively, rather than reactively.

Virtual Office Adjustment Tips

  1. Your new office normal should begin with a discussion with family members about work privacy.
    This discussion should prevent unauthorized access to screens, ensure the confidentiality of work-related phone calls, and lessen the likelihood of confidential files and documents being read. Think carefully about where you set up your workspace so you can be productive and efficient, while also following your company's policies. When you close up shop for the day, be intentional about closing windows on your screen and gathering documents into a folder where others will not accidentally see something they should not.
  2. Just because you are home does not mean you are available at any request.
    Be realistic as you discuss your availability with both family members and your employer. Be honest with family about your work requirements and what you need from them. Then, listen to their needs. If children are involved and your partner/spouse also has a job, make compromises to best meet everyone’s needs and respect responsibilities. Following your family chat, discuss your new goals and preferred schedule management with your employer. This will help diffuse resentment and appropriately set expectations on both sides. Not being on-call with family members should be included in the preceding work privacy discussion. Set expectations and follow them.
  3. An office should be an area where you can easily focus.
    If you do not have children, the kitchen island may work for your situation. If you do have children, being in the middle of the room with the most traffic may not be ideal unless your super power is ignoring things. Remember the old real estate adage about the best place to buy – location, location, location. Choose wisely. Then, set up the workspace that works for you.
  4. Document Sharing Recommendations
    Intrada Technologies encourages those working remotely to use a business account/configuration for sharing documents, not personal accounts. Some options include Google Drive – Business, Microsoft Office 365 with SharePoint and Dropbox Business.
  5. Video and Audio-Conferencing Software Options
    Intrada has used GoTo Meeting for several years with much success and we recommend it. Zoom is another option, but this new conference calling platform has been in the news a lot with how they are handling security. Overall, Zoom is fine to use and a great tool, but remember, as with any platform, you must protect meeting access to prevent the hijacking of meetings.
  6. Follow a schedule
    Most experts recommend following a schedule like you typically would if your commute was not ten feet. Structure and productivity go hand-in-hand. Make your bed. Shower. Get dressed. Eat breakfast. Try to make the new routine to work as normal as it was before the change of scenery.

Hackers want your mobile phone number. This scam is new and quite simple. Hackers find out your mobile phone number and as much information as possible.

Once hackers steal your number, they contact your mobile phone company and make service changes. This gives them access to your calls, texts, and more. Scary! Depending on your configuration, they would be able to access your cloud drives, dual authentication codes, email, and reset passwords.

What can you do to protect yourself? Intrada Technologies recommends the following:

  1. Do not share your mobile number on public, social media sites, or unknown websites.
  2. Use strong passwords. Intrada recommends coming up with a “code” on how you create your passwords. This code provides a process of how you use different passwords for different sites but following a “code” so you can remember the password. For example- maybe all your online utility sites will start with an animal name, utility, address, and unique character. If that is the case, your electricity password might be FishblubPPL220*.
  3. Contact your cell phone company to require confirmation for SIM swamp, number porting, or password reset.
  4. Do not keep password files on your mobile device.

If you see your phone unexpectedly has changes to “Emergency Calls Only” status, contact your mobile phone company immediately. This is what happens when your number has been transferred to a different device.

If you have fallen victim to this type of scam, you need to alert your financial institutions and take standard steps to combat identity theft.

With the increase of employees working remotely, email scammers are getting creative. If you receive any emails in question, please contact the Intrada Help Desk before clicking on links or providing personal information.

This is an email received by Intrada from “Intrada” but not sent from Intrada. This is called spoofing. The email looks like it is from Intrada, but the actual sending server is in New York City - more specifically, 101 Avenue of the Americas – 10th Floor.

What is Spoofing?

Spoofing is when a spammer uses information like a shared email address (sales@company.com) or a contact usually found on a company website or online. Spammers will “spoof” that information and send to other email addresses also found on a company website to trick users into providing information, mobile phone numbers, account information, or additional private information.

Intrada uses the latest firewalls to help prevent these scams from ever hitting your inbox. On average, 56% of all email received by Intrada is spam, blocked by our firewalls; only 21% of incoming email is delivered. Other email is tagged for review or quarantined for user review. What spam firewalls cannot prevent is a user clicking on a link and providing personal information on an external website.

Intrada will not email you asking you to fill out personal information on a website form. Links that are sent to you asking for personal information is a red flag and should be checked by our Help Desk.

The COVID-19 pandemic has affected the way we live and the way we work. Unless your organization has been deemed essential, you and your colleagues are likely working remotely. That means more audio and video conference calls, emails, and designating a specific place in your home as your new office.

Remember, just because you are working from a remote location does not mean you left the responsibility for following all the company network and privacy policies at the office. Every employee should ensure all company and customer information is kept confidential and secured per company policy and procedures. It does not matter if you’re sitting at a desk in your family room or at your kitchen island.

Your new office normal might require a discussion with family members about work privacy. This discussion should prevent unauthorized access to screens, ensure the confidentiality of work-related phone calls, and lessen the likelihood of confidential files and documents being read. Think carefully about where you set up your workspace so you can be productive and efficient, while also following your company's policies. When you close up shop for the day, be intentional about closing windows on your screen and gathering documents into a folder where others will not accidentally see something they should not.
